HRGO Recruitment is recruiting for an Administration Assistant to join a growing business working closely with the Office Manager. This is an excellent opportunity for someone with previous administration experience who is looking to develop their skills within a busy office environment. Full training will be provided, and once established in the role, you'll be encouraged to work using your own initiative.

You'll play a key role in supporting the day-to-day administration of customer projects, quotations, scheduling, and operational processes while delivering excellent customer service.

The Role

As an Administration Assistant, you will provide comprehensive administrative support across customer service, project coordination, quotations, scheduling, and office operations.

Working within a small and close-knit team, you will be responsible for ensuring customer enquiries are handled professionally, jobs are accurately logged and tracked, and operational processes are maintained efficiently.

Key Responsibilities

  • Managing and responding to customer enquiries received through the company inbox
  • Logging works and customer requests from incoming emails
  • Providing customers with updates on ongoing jobs and projects
  • Maintaining and updating weekly progress reports for Tesla projects
  • Handling incoming customer telephone enquiries
  • Logging and managing jobs through the Key West App
  • Monitoring and chasing overdue jobs within the Key West App
  • Updating the Key West App with worksheets received from subcontractors
  • Setting up new users on the Key West App
  • Preparing and issuing customer quotations
  • Maintaining quotation spreadsheets and following up outstanding quotes on a weekly basis
  • Creating and maintaining site folders and project documentation
  • Ordering materials required for projects and works
  • Supporting debt monitoring and account reconciliation processes
  • Maintaining job sheets and ensuring work is progressed through to invoicing upon completion
  • Planning and coordinating works alongside stores and operational teams
  • Arranging hire of access equipment as required
  • Preparing and submitting permit applications
  • Creating Risk Assessments and Method Statements (RAMS)
  • Reviewing completion reports and identifying follow-up recommendations

Essential Experience & Skills

  • Previous administration experience
  • Excellent written and verbal communication skills
  • Strong organisational and time management abilities
  • Good attention to detail and accuracy
  • Ability to prioritise multiple tasks effectively
  • Confident using Microsoft Office applications including Outlook, Excel and Word
  • Professional and customer-focused approach
  • Ability to work independently once fully trained

Desirable Experience

  • Experience using job management systems or scheduling software
  • Previous experience creating quotations and maintaining spreadsheets
  • Knowledge of permit applications and RAMS documentation
  • Experience working with subcontractors and coordinating project documentation
  • Background within construction, maintenance, facilities management, or engineering environments
  • Experience of debt monitoring and account reconciliation
