Salary: £27,000 - £28,000 per annum
Hours: Monday to Friday, 7:30am - 5:00pm

Our client is a well-established independent plant and tool hire business supplying a comprehensive range of plant, access equipment, tools, site equipment and consumables to customers across Scotland and the North of England. With an excellent reputation for customer service, technical expertise and reliability, they are looking to recruit an organised and customer-focused Hire Office Administrator / Parts Advisor to join their busy Dumfries depot.
This is a varied role where no two days are the same. You'll be at the heart of the operation, supporting customers, engineers and the wider depot team to ensure equipment, parts and consumables are supplied efficiently whilst delivering outstanding customer service.
Experience of working in a Hire or Trade Counter environment is highly desirable.
Key Responsibilities
- Handling customer enquiries by telephone, email and face-to-face.
- Processing plant and equipment hire bookings accurately.
- Advising customers on suitable equipment, parts and consumables.
- Preparing hire contracts, quotations and invoices.
- Ordering and sourcing parts from suppliers.
- Managing stock levels and maintaining accurate inventory records.
- Liaising with workshop engineers regarding repairs and parts requirements.
- Coordinating deliveries, collections and equipment availability.
- Updating internal systems with hire, sales and stock information.
- Assisting with goods in/out and supplier deliveries.
- Supporting the smooth day-to-day running of the hire office.
- Building strong relationships with customers through excellent service.
What We're Looking For
- Previous administration experience within a busy office environment.
- Excellent customer service and communication skills.
- Strong organisational skills with the ability to prioritise multiple tasks.
- Good IT skills, including Microsoft Office and experience using computerised systems.
- A proactive and positive approach with excellent attention to detail.
- Ability to work well under pressure within a fast-paced environment.
- Previous experience within plant hire, builder's merchants, motor factors, agricultural machinery, engineering or trade counter environments would be advantageous but is not essential.
- Knowledge of parts identification or mechanical products would be beneficial.
